Can Editable PowerPoint and Word Reports Refresh Without Losing Manual Edits?
Yes—within a declared selective-refresh contract. Start with a previously exported Crosstabs PPTX or DOCX, keep that edited file as the target, generate current table content as the source, and match stable anchors. Replace only selected generated values; preserve manual content outside those anchors, unselected objects, and supported equal-shape formatting and geometry. If an anchor is missing, duplicated, structurally incompatible, or the package is unreadable, the refresh fails before returning a modified file.

An Office file is a package of related parts, not one indivisible canvas. PowerPoint stores slides, masters, layouts, themes, charts, and embedded workbooks in separate related parts; Word likewise separates its main document, styles, media, and other parts. A safe refresh therefore names the generated regions it owns and leaves the existing package in control everywhere else.

Use stable identity and validate before apply
Crosstabs-generated tables, table metadata, statistics text, and PowerPoint charts receive deterministic anchors derived from the table ID and continuation-chunk index. Refresh first proves that each selected anchor exists exactly once in both packages and that corresponding table cell and text-run shapes match.
Validation produces an audit object containing selected table IDs, updated anchors, preserved anchors, blocked anchors, warnings, and the count of package entries not rewritten. Any blocking condition throws before the output package is created.

Worked example
An analyst exports a tracker deck, changes its cover title to MANUAL CLIENT COVER, changes the client theme, recolors a generated table, and leaves a second table untouched. A later wave changes the selected table's values but not its row/column shape.
Selective PowerPoint refresh updates the selected table text, metadata, statistics, chart series, and embedded chart workbook. It retains the manually edited cover, client theme, selected table styling and geometry, unselected table, chart object identity, and other unrelated package entries. The equivalent Word proof retains a manual client note, styles, equal-shape table formatting, and the unselected table while replacing the selected generated values.
If that wave adds a table row, refresh blocks because table shape changes. The analyst regenerates and reviews the affected object rather than receiving a silently reflowed or partially patched report.
How to interpret it
Rule of thumb
“Manual-edit preservation” does not mean arbitrary round-trip editing inside every generated object. It means edits outside selected generated anchors are retained, plus supported styling and geometry inside an equal-shape selected table. Selected generated table text and chart data remain authoritative from the current Crosstabs result.
Current Crosstabs product boundary
The current Workspace Export menu exposes both operations: Refresh existing PowerPoint PPTX and Refresh existing Word DOCX. Choose a compatible previously exported Crosstabs file; the browser rebuilds the open current table, refreshes its stable generated regions, downloads a new file, and reports updated-region and preserved-package counts.
This visible workflow currently targets the open table with stable ID tab-current. The underlying project model can plan multi-table generated-region refresh, but the present Export menu does not expose arbitrary multi-table selection, finding-text refresh, or automatic schema-changing reflow. Source rows and the Office file stay local during this operation.
Know when to regenerate instead
Regenerate when table dimensions change, a generated anchor was deleted or duplicated, chart type changes, the file is encrypted or corrupt, or the report did not originate from the compatible Crosstabs package contract. Review selected generated regions when an analyst intentionally edited values there: those values are replaced by current approved Crosstabs output.
A blocked refresh fails atomically and does not return a partially modified file. Keep the original edited file, regenerate the incompatible object or full pack, and compare it before delivery.
Frequently asked questions
- Can every manual edit in a PowerPoint or Word report survive refresh?
- No. Manual content outside selected Crosstabs-generated anchors is preserved. For an equal-shape selected table, formatting and geometry are retained while generated text values are replaced. A selected PowerPoint chart keeps its object and placement, but its generated series and embedded workbook are replaced. Arbitrary edits inside those generated data regions are not preserved.
- What happens when a refreshed table has more rows or columns?
- The selective refresh is blocked when the generated table shape or stable-anchor count changes. Crosstabs returns no partially modified output; regenerate that object or the complete pack and review the structural change.
- Can I refresh an arbitrary third-party PPTX or DOCX?
- No. The file must be a readable, previously generated Crosstabs Office package with the expected stable anchors. Registering a client master preserves its inherited package and mapped manual regions; it does not let Crosstabs infer refresh slots in an unrelated Office file.
- Does refresh upload the report or source dataset?
- The current Workspace refresh runs in the browser. It reads the selected local Office package, builds current generated content from the open crosstab, patches the supported package regions locally, and downloads the result. It does not send the Office package or source rows to an AI provider.
- Where is the refresh command in Crosstabs?
- Open a crosstab in Workspace, choose Export, and select Refresh existing PowerPoint PPTX or Refresh existing Word DOCX. The current menu refreshes the current stable table in a compatible previously exported Crosstabs pack and reports the updated-region and preserved-package counts.
